On today’s episode, we’re going to talk about strategic outsourcing.
Kamala Chambers
We’ve talked a bit about outsourcing before, but now, I want to get into a little bit of strategic outsourcing; how to set-up your outsourcing process.
Strategic Outsourcing – Have Systems In Place
The first step is you want to set-up your hiring. You want to get your people hired, then, you want to go through your interview process. You find qualified candidates, then, you want to go through an interview process. Then, you want to get your team management systems set in place.
One thing I found in the very beginning when I started outsourcing is I just suddenly replaced my time working with managing other people, and I don’t want that to happen for you. I want you to have the systems in place from the very beginning so they can manage themselves. And then, you want to get into creating the task list.
The first thing is getting your hiring set-up.
Strategic Outsourcing – Great Place To Hire People
In the show notes, we’ll include a link to our favorite place to hire people. It’s onlinejobs.ph, and it’s fantastic for getting people that are qualified. I just want to give you a couple of strategic outsourcing tips on how to get your hiring set-up.
You want to have some pretty clear instructions you want people to follow when submitting their application. If they don’t follow those particular instructions, then, you wouldn’t even consider having them in an interview. You want them to answer questions. You want to make sure they put the right headline in the email. You want to make sure that they send you samples of their work.
Strategic Outsourcing – Have Someone Who Can Follow Instructions
You want to see that they can follow instructions. I have to tell you this.
Luis Congdon
Yeah, definitely. Kamala’s spot on there. It has made a difference to have people who can follow directions. It’s because even if you have somebody that’s super good at their job, but they don’t do the job, or they don’t follow the directions correctly, and they give you something that even though it’s great, it’s not great for what you’re asking for. It doesn’t work.
So Kamala, what are some other elements to strategic outsourcing?
What Strategic Outsourcing Means
For me, strategic outsourcing means you’re strategizing about where you place people. It’s because you might hire someone and outsource them for something, and then realize they’re a better fit elsewhere or that you could have them do several jobs instead of one or vice versa. Instead of a lot of tasks, you have them do one.
What are some of the other elements to strategic outsourcing?
Kamala Chambers
I think you brought up a good point because you want to make sure you’re not trying to hire one person for everything.
Strategic Outsourcing – Hire Someone Who Can Do A Particular Task
You want to hire people that have specific skills, and you might find down the road that they also have other skills as well.
For example, I’ve hired a graphic designer, and then down the road found out they were pretty amazing at website development too.
Those are important pieces to have in place. It is hiring people that can tackle one particular task.
Another thing is the application process which we talked about.
Strategic Outsourcing – Things To Look Out For
When you feel like this is a good fit, and they followed your instructions during the application process, you want to make sure you look out for:
- Could they follow the application process?
- Is their rate in your budget?
- Can they meet the requirements of what you need?
- Do they work in all the software that you need help in?
- Do they have too many skills?
That’s something to look out for because if they say they’re amazing at every single thing, then it might mean they’re diluted, and they don’t have all the skills that you need for that particular task.
Also, full-time people are usually more committed even if you just only have a part-time amount of work.
Sometimes, you might not know how many hours you need someone for in the beginning, and you can start off with a few hours, and have them work into more as you go.
Strategic Outsourcing – Set-up Your Team Management Software
Also, a big piece is team management and making sure you set-up your team management software. The actual managing of your team can be a lot easier than it seems. You could make it as easy as writing out the task and then having the person just take it from there.
Strategic Outsourcing – Don’t Hire People You Don’t Feel Good About
An important part of hiring is you shouldn’t hire anyone you don’t feel good about.
Once you have people that you feel like you can trust, you’ve worked with them over time, or you just have a good intuition, and an intuitive sense about them, then, you can let them loose to work however they want. That means they can make their hours. They can show up when they want to as long as they do the tasks that need to be finished. That all stems from your clarity about what it is you need people to do for you.
